    manage its resources with optimal efficiency.

    Easy Gurukul A S-a-a-S Based ERP solution for the schools is a complete application which helps

    to upgrade the standard of any school not only in the management level but also helps in

    transforming the educational standards, increase the security system of the school, manager theresources in efficient way, reduces the communication gap between the parents, faculties and

    management team, provides complete IT infrastructure to the schools like Wi-Fi setup, high speed

    internet connections, attendance system with access cards, laptops to every faculty andmanagement teams along with onsite support with zero expenditure of the school authority.

    Easy Gurukul is using client-server system where the user interface of the client is web (browser)and the server is a standalone machine. Most of the request like validation and compression gets

    completed in client side itself using java-scripts and Ajax but for any request where database access

    is required the client sends request to server for process. For every process server receives from theclient it opens a new database connection, thus for multiple processes it opens multiple connections.

    The connection gets closed once the process gets completed but still if the number of connectionincreases heavily then we manage them using connection polling.

    Easy Gurukul is using 3-tier architecture, thus all application is between the three layers (a) User

    Interface, (b) Business/Application Layer and (c) Database. The diagram below display the 3 layersused in Easy Gurukul.

    Use r I n te r f a ce This layer has been used for any kind of user interaction with the softwarebasically the client side information. The platform in our User Interface is web.

    Business Layer All the applications and logics is written in the business layer. This is basically theserver side information. Any user request will be to business layer from user interface layer. Business

    layer opens connection for the database access.

    Database Database contain all the data needed by the application and user interface layer.

    4 . Commun ic a t i onInternet The complete software can be browsed using Internet. The software will be hosted in Adas

    Technologies server. All the members in the school will access the software through internet usingany browser (Mozilla, IE, Chrome etc). Only one module that is Employee attendance system will be

    running in the local network.

    Easy Gurukul uses TCP/IP protocol for the communication between the different users. In fewmodules where password related information is communicated we have used data encryption and

    hashing algorithms for higher security.

    6 . Featur es in Easy Gur uk u l

    6 .1 Secur i t y

    Most software systems today face one or more security threats: spoofing, identity theft, password

    stealing, eavesdropping, sniffing, spamming, data theft, web site defacing, denial of service attacks,password breaking, fraud, forgery, hacking, viruses, worms, Trojans - just to name a few.

    Easy Gurukul uses a very high level security system to defend all the above security threats. For

    defense we have taken the following security steps:

    Any data related to password is encrypted in the database. The encryption is also usedduring communication of data between client and server.

    The database is password protected. Any kind of access to database is restricted. Only superadmin with proper password can access the database for any kind of modification or

    manipulation.

    We used to maintain users session so that we can get information of the users accessing thesystem.

    The session of any user gets expired if he/she will leave the content management systemun-used for more than 2 min.

    The Fee related configuration has extra security where admin or administrative officer needsto pass a 2nd lever of security before accessing the module.

    The backup module used to take regular database backup. Past employee or student will not have access to their CMS nether we can alter any data. View and data level restriction for every user. VeriSign and Go Daddy 256 data encryption has been used for network level security.

    A Google-Rackspace cloud server is used for server level security. Automated regular data backup is maintained in the server with access only to super admin.

    6.2 Basic Conf i gur at ion

    For making the software functional in any school all the basis configurations are required. As thesoftware is being used by different kind of school thus Adas has developed the software as much

    configurable as possible so that we can deliver product with exact requirement of the school.

    Adas Project Management team with configure all the basis configurations required after gatheringthe information from the School. If any changes are required after Adas project management team

    configuration then Adas client side employee or school administrator will have access to make the

    changes.

    Basic configuration is consisting of global configuration, class, section, syllabus, subjects, books

    required in each subjects, schools activities, parents and teaches meeting schedule, yearlyexamination details, holiday list of the school, SMS & email configurator and menu configuration for

    content security.

    6 .3 Com prehens ive Repor ts

    Using this module the users in the software can view all the reports from one single window. The

    user needs to select the module and all the reports related to that module will be displayed.

    6.4 Prof i le Manager

    Using the profile manager all the different users of the software like administrator, faculty, students,parents, administrative officer, librarian, alumni and operators can manage their own profile and

    make required updates time to time.

    6.5 Fee Manager

    Using this module the user can perform the following task.

    Parents can view details of the fees that need to be paid in any academic session Parents can view the details of the fees paid in any academic session and take print of the

    record

    Fee collector can collect the complete or partial fee form the parents/students and take printof the bills generated. Copy of the bill can be given to the student / parent.

    Can keep track of the student not paying fees in time. System generated SMS will be send to parents just before the due dates and also after the

    successful payment of any fees.

    Tracking Fees structure as per academic session, department, course and semester Tracking fees paid and unpaid by students View details of fee paid by any student with facility to take print or save it in file. Maintain dues, rebates and fines Generating bills and keeping record of the bills generated. Duplicate bills can also be

    generated.

    Generating daily, weekly, monthly and yearly fee collecting record with details of thecollector.

    6 .6 No t i ce Board :

    Admin will have the authority to submit any notice in the website. The notice can contain anymessage with date. Whenever a new notice comes it will automatically send email and SMS to all

    the registered users (faculty, students, parents and management team). This notice will also besaved in the database and will also be displayed in the software.

    6 .7 S tuden ts Progress Repor t :

    This will display the graphical progress reports of each students as per the marks scored in several

    class tests, online testes and exams. From this reports parents/teaches can judge the performanceof the student with respect to the other students in the class.

    6 .8 Remark s fo r stud en ts :

    Using this module any faculty, administrator, librarian or administrative officer can send remarks tostudents. The remarks can be sent to any specific student or a group of students. Once a remark is

    send it will trigger an email and SMS to parents.

    The purpose of this module is to send different kind of complain or remarks to parents as per

    students activity in school.

    6 .9 Stud en t A t t endance Manager

    This module will make the students attendance system automated. Any faculty will be taking theattendance of the students as per their schedule timetable classes. But if any attendance record is

    missed or wrongly marked then admin will have the authority to update any past attendance record.

    Biometric devices are used to take daily attendance of the students which will save the time of thefaculties to take attendance in class rooms. This will also trigger SMS to the parents that the student

    has reached school safely thus increasing the security level of the school.

    This module will help the admin, faculty and parents to track any student attendance record andalso to send SMS/email in case of short attendance. Admin and faculty can view student attendance

    record based on monthly/yearly attendance record, attendance shortage record etc. If school wants

    than they can also add fine for shortage of attendance.

    6 .10 Class No tes & Assignm ents

    Using this module any faculty can upload the latest class notes as video, audio or document file.This will help all the absent students to know what happened in the class. Once any class note is

    uploaded a notification (SMS and email) will be triggered to all the student of the class.

    In case of Assignments the faculty will upload any assignments with last date of submission. Onceany assignments are uploaded it will be notified to all the students. Students will also get an alert

    just before the last date of submissions.

    6 .11 Sample Papers

    One of the best ways to score better marks in exam is to solve the sample papers of the past examor papers by the experts. Using this module the students can easy get the sample papers of the

    experts and past exams from the software. Faculties or the operator will be uploading these samplepapers of any class, which will be accessible to parents and students.

    6 .12 Em p loyee Managem ent System

    Using employee management system the school can manage their own employees with features like

    attendance system of the employees, leave management system of the employees, work load

    report of the employees, identification manager of the employees and payroll system.

    For employee attendance system biometric devices can be used.

    This will reduce the heavy paper work of the school to manage its own employees.

    6 .13 Com m un ica t ion Too ls

    Using this module all the members in the school mainly the students, parents and faculties cancommunicate with each other. This will reduce the gap between the students and faculty.

    The students and faculties can create communities and discuss different queries using the onlinenetwork community forum. This will increase the open discussion among the students. Admin will

    have the authority to stop or delete any community that required. To develop this forum we will beusing third party tools.

    6 .14 Document Manager

    Using this module the school can manage all its documents online. The admin have the authority to

    upload any documents as per the defined category of documents. Any document uploaded will havea permission set by which the admin can restrict any document from non-required users (E.g. Anydocument with permission set to faculties or to any specific faculty will not be visible to other

    users). The document manager also maintains document versions using version control system.

    This will help the school to track any document in the school without any danger of losing thedocument.

    6 .15 Exam ina t ion Management System

    Using this module the users can print/view/save any related i-cards like employee i-card, student i-card, student bus card, library card, transport card, exam card etc.

    In case of lost i-cards the users can take print and then sign it from the authorized administrator.

    6 .18 L ib ra ry Management System :

    Department admin or librarian will manage the department wise library system.

    The admin will update the entry of any new book in the library. Students, Faculties or Department

    head can have an access to view the books available in the library. If any book in the library is notavailable then it will display record of the book with availability date and the person having it.

    An alarm will be trigged to the librarian if any member does not return any book within the date ofreturn.

    Department head will schedule the timetable of any batch. He will also assign the faculty related tothe timetable prepared. Students can view the timetable of their allocated batch.

    Whenever the timetable is prepared and faculties are allocated an automated email to the facultieswill be triggered.

    6 .21 Transpor t ManagerUsing this module the admin can manage the transport system of the school with details of all thestudents applied from transport, number of student allocated, bus card and transport fee record.

    6.22 SMS and Emai l a ler t sAs we can understand that all the parents will not have access to computers to get the details of

    his/her child. Thus for any alerts we will be also send short messages (SMS) in there mobile.Parents will receive alerts for the following modules:

    Will receive SMS/Email once the student reaches schools and 1st attendance is taken Will receive SMS/Email with results of all the test taken by the school Will receive monthly SMS/Email with the details of the student progress Will receive SMS/Email for any kind of remark or message from the teachers. Along with parents all the other faculties and staff will also receive SMS/Email for any kind of

    notice from the school authority.
