Open Text Enterprise Applications delivers a full set of capabilities to support these information flows: Information Processing: Vendor Invoice Management is a poster child for information processing – it takes and processes invoices coming from suppliers in different formats and different channels – may it be paper, EDI, eMail or data from business networks (Ariba or GXS) And we have extended this to a whole new level with a new product called “OpenText Business Center for SAP Solutions”. It can apply the same idea of reading, understanding and processing an incoming information to many more business scenarios such as Sales Order processing, Delivery Notes processing or HR document processing. Any unstructured or semi-structured information that comes into your organzation and needs any kind of processing is covered by this SAP-based OpenText product. Information Management: Here we find the flagship product of the OpenText Enterprise Applications: Extended ECM. It allows to manage any kind of unstructured information in so called business workspaces that are tightly connected and integrated into leading business applications. Digital Asset Management: same idea than Extended ECM – but this time for media assets such as images and videos. Also tightly integrated into leading applications such as SAP ERP, CRM or the hybris eCommerce suite. Effectively managing media assets in a central location but making these assets available for product lifecycle management, campaigns or eCommerce sites. Employee File Management is a good example how to apply this general idea of having workspaces or electronic files to a certain business area such as HR. Engineering Document Management is another example of an Enterprise Application that applies information management to specific business processes such as capital project management or managing of technical documents or CAD drawings <Information Processing and Information Management need to be tightly connected. Incoming information to is processed by VIM or Business Center needs to be stored in Extended ECM in many cases. Vice versa information processing may need additional context information that is already stored in Extended ECM to make decisions how to process new information> Information Delivery: Aggregating the right information for the right target group in a hyper-personalized way – omni-channel. Document Presentment does exactly that. In many cases users are working in collaborative environment. Here MS SharePoint is a dominant player. Information delivery also means to make all information that is stored in OT available for SharePoint users and let them contribute new information assets such as documents or emails. Information Processing – Information Management and Information Delivery is underpinned with OpenText’s well known Archiving and DocumentAccess technology – making sure that compliance requirements are properly covered. On top of this – OpenText’s Enterprise Applications come with a productized integration into key business eco-systems such as SAP, Microsoft and Oracle. But also specific business applications such as SAP’s Ariba network, SuccessFactors or hybris.

In order to transform your HR department from one that is primarily administrative to one that is primarily strategic, you need a solution that can streamline the most time consuming and administrative processes so that instead of spending the majority of your time searching for information and manually creating and updating files, you can have a central place where employees or contractors, managers and HR professional can access and manage the information based on user defined rights and authorizations in the SAP ERP HCM application. Multiple Access Points and Choice of Interfaces: You can use SAP Employee File Management in the familiar SAP GUI or the SAP NetWeaver® Portal component, while staff can access files for which they are authorized via the employee self-service and manager self-service portals in the SAP ERP application. Using a guest access feature, each employee can easily access his or her online file for a restricted time period via the Web, and managers can see their employees’ files. Employees can see only the contents of their own files and have limited access based on their legal right to see the documents. Integration of SAP documents and SAP Interactive Forms by Adobe: All documents created by SAP are automatically filled to the personnel file and securely archived. There is also an integration with SAP Interactive Forms by Adobe for document creation. Documents which are created with Adobe Interactive Forms can be linked to the appropriate personnel file. *Adobe Interactive Forms requires some customization. Secure Archiving: SAP Archiving by OpenText is included and part of EFM, which actually is a concept of bringing in a central depository into your environment, which has very tight alignment with the SAP business processes and has the ability to store documents, unstructured content, and any supporting documents related to HR business process within this centralized depository. The archive solution provides secure, long-term archiving of data and documents from SAP applications and non SAP applications, offloading aged data to reduce storage costs and improve performance, while providing seamless access to archived data and documents. Secure Deletion, Retention Management: In every industry and country, companies must operate within the context of countless government regulations, industry standards, and internal company procedures. Virtually all of these regulations, standards, and rules involves some form of documentation. In some cases, the rules and regulations govern the management of the documents themselves, such as where they are stored and in what form, how long they must be kept, when they can be destroyed, and so on. To support compliance and minimize risk, it is important to control the complete lifecycle of vital records, while at the same time reducing content management costs by deleting unimportant or out-of-date content. The Retention Management component enables control of the complete lifecycle of content objects by associating sophisticated retention and disposition rules with each content asset. These rules control if and when content can or must be deleted or archived on less costly storage media Flexible Folder Structure: SAP Employee File Management is designed to meet the requirements of modern HR management. Using a hierarchical folder structure designed for ease of use, the software enables your HR staff to quickly gain a clear overview of each worker’s records. Using the name or assigned number of an employee, contractor, or retiree, they can rapidly retrieve all of the relevant information and documents they need. Regardless of whether you are searching for master data, statement data, or original documents, a simple mouse click is all that’s needed to instantly display and access all employee records in a single view. Scanning: Scanning is a component of SAP Employee File Management that provides a proven solution for scanning and indexing low, medium, and high document volumes, scaling from hundreds to many thousands of documents per day.
