Sub:- Implementation of SAP-ERP- Go-Live preparation

On the subject cited above it has already been brought to your notice that SAP ERP isscheduled to be Go live w.e.f. 1st July 2016 i.e. all the activities like issue of PO/\VU,material receipt/issue, payment against receipt of material and all financialtransaction of Project/Scheme of RVPN shall be performed through SAP to firiahzethe Annual account/ Asset Register / cost of project.

It may please be noted that all the transaction of material consumed/WfP &, balancematerial/MAS of running project/scheme shall be entered in the SAP.

rs the WIP of the ongoing projects has been prepared and finalised by theconcerned AEN(T&C)the same is now required to be split in two parts i.e.

Part-I :-providing the total value (in Rs.}of the material already erected on thesite and

Part-II:-preparation of the details of the material including the rate andquantity lying at the site and allocated to the subject project along withmaterial code.

In order to carry out this work quickly in a time bound manner it has been decidedthat the these entries shall be carried out centrally by the selected offlcera/officiars(~S per Annexure-A) selected from the respective circles at JMC Jaipur under thesupervision/ guidance of IT/Doman core team/ Yash Technology team. The deplo\ velteams shall be responsible for the following:

• Segregating MAS and WlP details of the material for all the running/ ongoingproject/Scheme as on 1st April 2016 in the excel sheets alreadyprepared/finalised and submitted to accounts by the concerned AENs(T&'C) asdetailed out above.

• Entry of material code in the above referred sheers• Entry of material consumed/WIP w.e.f. 01.04.2016 t () JO.06.20 16 of all

running project/ Scheme open as on 1st April 2016 in SAP of t he respect ivr(T&C) circle

• Entry of progress of the running projects/Scheme

In order to perform this task circle wise teams have been constituted as per theenclosed list in Annexure-Aand these team have to report at JMC as per the timeschedule mentioned against their names alongwith the relevant records and data.Circles SEs/Zonal Chief Engineer are advised to monitor this work closely andensure that all the entries required for transaction are made otherwise their work willbeheldup. e-:».
